AI Receptionist for After Hours: Closed Greetings, Messages and Emergencies (2026)

Kris Hubbard ·

Short answer: An AI receptionist for after hours is the phone path that answers when your shop is closed, says you're closed, decides whether to take a complete message, book a next-day slot, or escalate a real emergency to on-call, and never offers a live transfer to an empty desk. "Closed" on the phone is a rule you control (business hours, weekend, holiday), not a guess by the model. Jobber Receptionist can run a separate after-hours greeting and phone menu. GoHighLevel Voice AI uses Working Hours on the Deploy tab. Custom Retell builds pass an office_open value from your calendar through the inbound webhook so the closed branch has no transfer tool at all.

This is the general home-service / small-business playbook. It is not the emergency triage deep-dive for plumbers and HVAC (after-hours answering for plumbers and HVAC), not the holiday calendar exceptions guide (AI receptionist holiday hours), and not the real-estate seller-call workflow (AI receptionist for real estate after-hours seller calls). Those three stay linked below when you need them.

What does "closed" mean on the phone?

Three different clocks get confused:

  1. Carrier forwarding — rings, then forwards after N rings or outside the carrier's business-hours profile
  2. Receptionist greetings / Working Hours — which script and menu the caller hears
  3. Who can actually pick up — the person behind a transfer or escalation

If those three disagree, callers hear "press 4 to speak with someone" at 9 PM and land on voicemail. Jobber's help article (updated October 28, 2026) is explicit: toggle Business hours on so you get a separate business-hours greeting and after-hours greeting, each with its own phone menu. Their example removes the "Press 4 to speak with someone" option after hours when nobody is available. HighLevel's Working Hours article (modified August 25, 2026) puts the same idea on the Deploy tab: All Hours or a Custom Schedule by day, and the FAQ says the AI will not automatically update its working hours.

Retell's after-hours guidance is even stricter: decide open or closed with a rule, and only give the transfer option to the open path. Pass office_open from your calendar through the inbound webhook, or route closed calls to an agent that has no transfer tool.

What we saw on the lines we run

Before we write after-hours scripts, we look at when callers actually reach the receptionist. From a Retell API pull of the field-trade client lines we manage (Tennessee, Central time), October 12 to 31, 2026:

  • 106 real conversations (caller had at least one turn of three or more words)
  • 99 of the 106 on a weekday between 8 AM and 5 PM local time
  • 4 on a weekday before 8 AM or after 5 PM
  • 3 on a weekend
  • Wednesday (30) and Thursday (27) were the busiest days

So most paid work still hides in daytime overflow while the tech is on a job. After-hours coverage still matters — the weekend and late calls are the ones that used to die in voicemail — but the bigger leak is daytime "we're closed to the phone" behavior. On an earlier pull of the same lines (October 12–29), 34 callers asked for someone by name, heard they were out in the field, and 10 hung up — 8 within 21 seconds. Those hang-ups are leads you almost had. Treat them under missed-call capture and AI receptionist lead capture, not as "the AI failed."

Message vs transfer vs emergency escalate

Caller need After-hours action Why
New quote / routine repair Take a complete message (name, callback, address, job type, urgency); promise a first-thing callback Nobody can quote or schedule honestly at 11 PM
Existing appointment change Message or book next available if the calendar allows; no fake "we'll be there at 8" See reschedule and cancel
"Are you open?" / hours / pricing FAQ Answer from the knowledge base; no ticket if nothing needs a person Clears the morning queue
True emergency (gas, flooding, no heat in a freeze, life safety) Warm transfer or page {{on_call_number}}; if life-threatening, tell them to call 911 Written emergency list only
Spam / sales pitch End the call; no message, no page Protects on-call

Jobber's escalation policy listens for terms you add (their examples: "emergency," "urgent," "speak to a manager") and either texts the escalation contact a transcript snippet or transfers the call. After-hours follow-up tasks are set for the following day. Retell's warm transfer waits 30 seconds by default for a person; plan the transfer-failed path so it creates an urgent ticket instead of hanging the caller.

Platform comparison: after-hours controls

Platform How "closed" is set After-hours greeting Transfer control Typical cost signal
Jobber Receptionist Business hours toggle → separate greetings + phone menus After-hours greeting you write; read exactly as written Remove "speak with someone" from the after-hours menu; escalation policy for urgent terms Add-on $29/mo for 30 conversations, then $0.79 each (or unlimited on Plus)
GoHighLevel Voice AI Deploy tab → Working Hours: All Hours or Custom Schedule Outside hours, call follows the number's routing / fallback Transfer actions you configure; hours do not auto-update Native Voice AI minutes on your AI Employee plan
Custom Retell + n8n Inbound webhook returns office_open (and optional override_agent_id) before the call connects Closed agent has a closed greeting and no transfer tool Open branch only gets transfer; closed branch tickets Usage-based Retell + your n8n / CRM

Jobber pricing above is from the Receptionist help article updated October 28, 2026 (re-checked November 5, 2026). Conversations tagged "no conversation" or "spam" do not count. Details live on Jobber AI receptionist pricing and the Jobber vs GoHighLevel comparison.

How we build the closed branch on Retell

This is the pattern we use on home-service lines:

  1. Set the agent's time zone to the shop (Retell defaults to America/Los_Angeles if unset)
  2. Keep the open/closed calendar where the owner already works (Sheet or calendar)
  3. Answer the number's inbound webhook from n8n; return office_open, reopen_day, and on_call_number
  4. Logic-split on {{office_open}} before any greeting — equation conditions, no model judgment
  5. Closed branch: closed greeting → message taking with readback → CRM write on call_analyzed → morning owner
  6. Emergency branch only: warm transfer to {{on_call_number}}, with a transfer-failed ticket path
  7. If the webhook fails (Retell waits up to 10 seconds per attempt, up to 3 attempts total), the default inbound agent must be the safe one — messages only, no transfer

Greeting copy matters in the first five seconds (greeting script). A short closed greeting we use:

"Thanks for calling Lakeside Plumbing. Our office is closed until 8 AM tomorrow. I can take your name, number and what's going on so someone calls you first thing — or if this is an emergency like a burst pipe, say urgent and I'll reach the person on call."

After-hours launch checklist

  • Carrier forwarding, receptionist hours, and who can pick up all agree on "closed"
  • Separate after-hours greeting that names when you reopen
  • After-hours menu / agent has no dead "speak to someone" option
  • Message fields: name, callback read back, address, job type, urgency
  • Morning owner named for after-hours tasks / tickets
  • Written emergency keyword list + tested on-call number
  • Transfer-failed path creates an urgent ticket (does not hang up silently)
  • Holidays and early-close days on the same calendar (holiday hours)
  • Disclosure / recording notice where your state requires it (disclosure laws, recording laws); FCC 26-67 opt-out changes take effect November 25, 2026
  • Five test calls: routine message, "are you open?", spam, emergency that should page, emergency that should not

Questions people ask

What is an AI receptionist for after hours?

It is the phone path that answers when your shop is closed, tells the caller you're closed, takes a complete message or books a next-day slot for routine work, and only escalates a short written list of emergencies to on-call. It should never offer a live transfer to an empty desk. Jobber uses a separate after-hours greeting and menu; HighLevel uses Working Hours; custom Retell builds pass office_open from your calendar.

What is AI after-hours answering for a small business?

AI after-hours answering means the line still picks up outside business hours so the caller is not dumped to voicemail. The receptionist says when you reopen, captures name, callback, address and urgency with a readback, writes a task or CRM record for the morning owner, and pages a person only for real emergencies you defined in advance.

Should an AI receptionist transfer calls after hours?

Only for emergencies on a written list, and only to a number that someone is actually covering. Routine quotes and appointment changes should become a complete message with a promised callback window. Jobber's help example removes the speak-with-someone menu option after hours when nobody is available; Retell's guidance is to give the transfer tool only to the open branch.

How do Jobber Receptionist and GoHighLevel handle after-hours greetings?

Jobber: toggle Business hours on under Phone Greeting to create separate business-hours and after-hours greetings, each with its own phone menu. HighLevel: on the Voice AI Deploy tab, set Working Hours to All Hours or a Custom Schedule by day; the AI will not update those hours on its own. Outside hours, HighLevel calls follow the number's own routing and fallback.

Do plumbers and HVAC need a different after-hours AI setup?

Yes for emergency triage. Gas smells, flooding, no heat in a freeze, and similar calls need an on-call path, not a polite morning ticket. The general playbook in this post still applies for greetings and message taking; use our after-hours answering guide for plumbers and HVAC for the trade-specific escalation table.
